Manager, Programs, Washington, DC Office

The US-China Business Council (USCBC, www.uschina.org) is seeking an events manager for a full-time position in our Programs division, the meetings and events planning department. USCBC is a private, nonpartisan, nonprofit organization of roughly 200 American companies that do business with China. Founded in 1973, USCBC has provided unmatched information, advisory, advocacy, and program services to its membership for more than four decades. Through its offices in Washington, DC; Beijing; and Shanghai, USCBC is uniquely positioned to serve its members' interests in the United States and China.

 

Responsibilities

 

  • Work directly under the supervision of the director of Programs to prepare and execute various USCBC meetings and special events, including issues briefings, annual conferences, fundraising gala, and hosting of senior US and Chinese officials

  • Coordinate, design, and dispatch event announcements and a weekly Meetings & Events Update newsletter

  • Process individual and corporate sponsorship registrations, payments, invoices, and receipts for all USCBC events

  • Serve as primary point of contact with event sponsors on fulfillment of corporate sponsorship benefits, collaterals, guest confirmation, and logistics

  • Track and ensure receipt of the department’s Accounts Receivable using accounting software and event-specific and annual income summaries

  • Compile post-project reports on finances, event logistics, and venue facilities, and track membership participation via CRM software

  • Send event RFPs to local venues for upcoming events and coordinate with contracted venues on final setup, catering, and audio visual needs

  • Assist in creation and maintenance of event-specific and annual budgets

  • Oversee and coordinate the Programs Department portion of the USCBC website

  • Maintain department inventory of supplies and materials

  • Conduct research for background information on speakers and visiting dignitaries, as well as on potential meeting venues, travel reservations, and program content

  • Assist selecting and overseeing the department’s internship program

  • Provide administrative support and perform other duties as determined by USCBC

 

Qualifications

  • Candidates must have an undergraduate degree, and two to four years of work experience in meeting and events planning or the hospitality industry

  • Candidates with a strong working knowledge of meeting planning and familiarity with Washington, DC venues

  • Familiarity with CRM database software such as Salesforce, Mailchimp email service, and Intacct accounting software is highly desirable

  • Professional written and verbal communication skills

  • Ability to work independently and as part of a team

  • Good organizational and administrative skills

  •  Demonstrated ability to handle multiple tasks in a fast-paced environment with strong attention to detail

  • Working knowledge of MS Office software and online research

  • Energy, enthusiasm and decorum for communicating with guests during planning and execution of events  

  • US permanent work authorization (US citizen or lawful permanent resident)

 

 

 

Salary: Salary will be competitive for non-profit organizations and commensurate with experience.
